Block Management

Credit Control

CH Estate Management will actively pursue any leaseholders who withhold payment. This will ensure that the Management Company has sufficient funds to meet its obligations.

Insurance

We offer a full insurance service, and can arrange block buildings insurance to be put in place at inception. Other insurances can be implemented such as Public Liability Insurance, Director’s & Officer’s Liability Insurance and Terrorism cover. We also offer a full insurance valuation service carried out by our experienced Chartered Surveyors, to ensure that the property has the correct level of cover in place; this is carried out every 3 years in accordance with industry recommendations.

Repairs/Maintenance

We have a comprehensive portfolio of approved contractors, able to carry out any works from full facilities management to major works such as internal and external re-decoration, roof and gutter repairs as well as minor repairs such as repairing a lock, or replacing a fence panel.

Our contractors are carefully chosen, and are rigorously checked to ensure they have sufficient Public Liability Insurance in place and adhere to current Health & Safety legislation. We endeavour to source our contractors locally to the development thus ensuring no excessive call out charges. We can also arrange a full 24 hour emergency call out facility if so required.

Management Company Incorporation

We are able to provide a complete start up operation for your Management Company and can accommodate the following:

• Company Incorporation

• Filing with Companies House

• Completion of the Memorandum and Articles
of Association

• Liaise with your Solicitors

• Regular meetings with the Developer

• Company Secretarial Duties Health & Safety

Clarke Hillyer prides itself on its Health & Safety record, and complies with all current legislation. We automatically carry out, an annual Health & Safety report on behalf of the management company. This will be a full inspection by one of our qualified Surveyors.

Surveying

We have a wealth of experience in surveying and our in-house team are fully equipped to supervise any works should they be required.All our surveyors are Royal Institution of Chartered Surveyors (RICS) qualified.

Estate Management

Over the last 25 years there has been a dramatic change in how residential developments are being managed. It is now increasingly difficult to keep abreast of all the new legislation coming into force. This is the reason why more developers of residential blocks are turning to a Managing Agent from the outset, to manage their development for them and to ensure that they fulfil their obligations as landlords. The benefits
of appointing a Managing Agent to meet those needs are well founded; the most notable being that the managing agent can relieve the burden imposed in the day to day running of the development.

At CH Estate Management we can manage everything from the inception stage of your development right through to the release
to the residents and handover to the Management Company. We have extensive knowledge of managing everything from a Victorian conversion to a purpose built multi unit mixed development. Our
aim is to ensure the smooth running of the development, giving you
the peace of mind to carry on with your core business.


Financial Management

Budgets

Our team of property managers can calculate the annual budget of the development for approval by the Directors. Where the development is still under construction we can use our extensive knowledge to calculate the costs based on similar buildings of the same size and occupancy.

Reserve Funds

Under new legislation reserve funds have to be shown separately on the Service Charge demand. We will keep all reserves separately from the service charge and ensure that sufficient funds are available for any future major works. Such funds will be reasonable as well as equitable according to the lease. We can also calculate a 5, 10 or 20 year cyclical maintenance plan when warranted.

Completions/Voids

We will calculate any outstanding service charge on completion along with any void payments due in respect of completed, but unoccupied properties.

Annual Accounts

All the necessary paperwork will be collated in preparation for the independent auditors to draw up the annual accounts.


Major Works

Under the terms of most new leases the development will have to undergo internal and external re-decoration. We can arrange for all aspects of the works to be carried out, from issuing the notices to the lessees, drawing up the specification, tendering the work, appointing a Surveyor and payment to the contractors. This will ensure an efficient and smooth operation, with as little disruption as possible to the residents. All this would be carried out in accordance with current legislation.

Mechanical &Engineering Equipment

As more and more developments are being fitted with the latest facilities, such as door entry systems, lifts etc, these have to be covered under a short term maintenance contract, to comply with current Health & Safety legislation. To ensure that they are working correctly we can arrange for these to be put in place as soon as any warranties expire, and to make sure there is no loss of cover to the development.
